It is meant to help in the particular situations that arise in the North Texas Outreach Events, and to help you in your preparation for the upcoming Awana Club year. All information on www.awanatexas.org is considered final! Sometimes event rules, dates, policies change. Please keep checking the website for the latest information! Introduction This ?Coaches? Guide? is to assist you: the Coach, the Director, the Commander and/or the Pastor in developing successful teams to compete in North Texas Awana Events. This guide should help you understand the rules and policies set forth by the missionaries, and help you in planning for the upcoming year. We hope by putting this in writing, it will make items more clear and this guide will serve as a great reference. Also, you may not have known about several of these events, and it may give your club ideas for participating this upcoming club year! If you have any more questions about any events, please don?t hesitate to contact us or the Ministry Team Members serving in each area. Central Focus of Outreach Events There are three purposes for Outreach Events and why your church should STRONGLY consider participating in this exciting ministry! The first and foremost priority at Awana events is sharing the life-changing message of the Gospel! At each event, the Gospel will be clearly presented and a Biblical invitation of salvation will be offered. God has used Awana events to bring an untold number of kids and parents to Christ in the 60 years of Awana. Let?s keep the main thing the main thing! Awana events present an opportunity for Club Leaders to interact with clubbers and teach them through their positive example. Teaching good sportsmanship and giving leaders a chance to mentor clubbers outside of the church walls is vital to spiritual development. Outreach events provide excitement and opportunity for your club that?s impossible for your church to provide by itself. Your clubbers will be more excited about bringing friends, completing handbooks, and participating in Awana more than ever! Your Awana club will experience more energy and focus, especially towards the end of the club year. AwanaGames will begin at 1:00 and conclude by 3:15.) Bible Quiz Check-in: 8:30 Bible Quiz: 9:00-11:30 Lunch break (Pizza): 11:30-12:30 Sparks-A-Rama and AwanaGames Check-in: 11:30-12:30 (during lunch break) Sparks-A-Rama: 1:00-2:15 Gospel Message/Sparks Awards: 2:15-2:30 AwanaGames: 2:45-4:15 Awards/Closing: 4:15-4:30 Cost $25 per Bible Quiz Team $90 per AwanaGames/Sparks-A-Rama Team (if submitting full teams) $3 per person for pizza lunch Registration Deadline Registration is due at midnight the Sunday preceding the event. Please help us by having all your clubbers registered before the event! Lunch registrations can be added the morning of the event for parents, coaches, etc. Pizza registration totals must be received by 9:00 AM. AwanaGames/Sparks-A-Rama Championship Level The ?official? AwanaGames/Sparks-A-Rama is back! Instead of dividing players up on teams to ?even? things out like we have done the last several years, each church needs to bring a complete team to compete. We will run the events and number of heats described in the 2012-2013 AwanaTexas rules for AwanaGames and Sparks-A-Rama. A team consists of 10-14 players. For specific eligibility requirements, please check the rules for each event. Please do your best to have a full team from your church! If you are not able to make a full team, or have ?extras? and aren?t able to make a second team, please let us know as soon as possible so we can try to pair you up with another church! If there are more than six teams that register for the T&T level, we will try to have a ?playoff? for the championship. If enough teams register, specific playoff information will be sent to registered churches the week of the event. Playoff rules will ?most likely? be running all team events to determine the ?Ultimate Champion?. Volunteer Requirements Each team that registers for the AwanaGames/Sparks-A-Rama must submit three volunteers to serve. These volunteers will serve as a scorekeeper, timer, or line judge. Line Judges must thoroughly review the Event Rules and the Line Judges Manual (both online). Our preference is that Line Judges serve for both Sparks-A-Rama and AwanaGames. If your Line Judge is only able to serve in one aspect, please let us know. Scorekeepers must review the online scorekeeper training in preparation for the event. No test is required, but it will help us out greatly if they are prepared! Timers are not required to prepare for the event. A Timer needs to just show up on time and be ready to use a stopwatch! Please note that these volunteers must be different from team coaches. Required Forms There are two required forms for each Awana event. These forms are REQUIRED?if a clubber or volunteer does not complete these forms, they may not serve at the event! NOTE: These forms are REQUIRED?NO EXCEPTIONS! While we don?t enjoy making more paperwork for clubs, in today?s legal environment, these are required for the protection of our ministry, and more importantly, for the protection of our kids. Please help us out and come prepared with these forms signed! Parent Permission Slip/Media Release Form All event participants are required to have a Parent Permission Slip/Medical Release Form to participate in events. A release from your church is no longer acceptable?we must have one for every participant at each individual event! Also, please note that this form only releases Awana Clubs International for the event, not your local church. We HIGHLY encourage you to have a separate one for your church that fits your church?s legal requirements. No names or identifying information will be posted about any child on the state website. If a parent does not want to sign the media release portion of the form, please clearly mark out that portion with a black marker. At the event, it will be the coach?s responsibility to inform the missionary or ministry team of the child who cannot be photographed so we do not post their photo on the website. Day Event Volunteer Form This is a form for all Adult Volunteers to complete before serving at an Awana event. To be able to serve, the Awana club where you serve must be participating in the event and you must complete this form. A new form must be filled out before every event. Please note that if you mark ?Yes? in any of those five questions, you will not be able to serve at the event. We appreciate your willingness to make the event a great day for kids, but we cannot use you at this event. Please turn in completed Day Event Volunteer Forms at check-in. NOTE: New this year! All Minors (under age 18) who are planning to serve at the event MUST have a parent/guardian complete and sign the Day Event Volunteer Agreement for them to be able to serve. Helpful Forms There are three helpful forms for coaches on the AwanaTexas website. Team Roster Sheets While this form is not required to participate in the event, we as that every team complete the form and turn it in at check-in. The Team Roster Sheets show that all team members are eligible to compete in the event and have met all age and section requirements. This helps your team ?avoid any appearance of evil? and prevents any arguments about eligibility. Team Assignment Sheets This form is provided for the coaches? convenience to help you know which clubber is participating in each event. This form is not turned in, but kept by coaches. These are a great help for getting your teams prepared for the event! Record Times Sheet This form is just to help motivate your clubbers to practice harder. They may think they are fast?until they see what the official record is! Use it to keep them excited about the event! How to Prepare Your Teams Every team wants to do their best at the event and take home the gold! Here are some tips on how to best prepare your clubbers for the AwanaGames/Sparks-A-Rama. ? Prepare yourself and fellow coaches by becoming very familiar with all the rules and regulations for each and every event. If you have any questions about a certain rule or game, don?t be afraid to ask your missionary! Make sure to be familiar with the more difficult games, such as Balloon Relay and Bean Bag Bonanza. ? Begin recruiting coaches and volunteers now. Don?t wait until the last minute! ? Get your clubbers excited about the event by showing some of the videos on www.awanatexas.org in Opening Ceremony or Large Group Time. ? Inform parents of the importance of this day, and why their children should participate. We are all busy in this day and age, and it is easy to just say ?no?. Remember that recruiting parents is just as important as recruiting clubbers! Also, see this is a great outreach opportunity to connect with the parents of your kids, and a chance to share the Gospel with them. ? Begin by teaching and playing 3-4 of the ?official? AwanaGames each club night. The more clubbers play an event, the more familiar they are going to be with the rules. Make sure to begin teach the ?official? rules as soon as possible! ? Promote the event in your church through posters, flyers, and maybe even in the church bulletin. Let everyone know that the big event is coming soon! ? Get commitments from clubbers (and clubbers parents!) as early as possible. During Game Time for the few weeks leading up to the event, play these clubbers together as a team against those who are not going to be able to make the event to give them a chance to practice together. ? Try to schedule a team practice or two that is not during club night. This could be a couple of hours before club or maybe a Saturday morning. Having a few hours to focus solely on the AwanaGames makes a BIG difference in your team?s preparation! ? Practice the team games over and over?these games usually separate 1st and 2nd place! Use this as a teaching opportunity for your clubbers about the importance of following rules. ? At the last practice before the AwanaGames/Sparks-A-Rama, have a ?dry run? with your players to make sure they know what to expect and who is participating in each event. ? Continually remind your clubbers (and yourself!) that sportsmanship and a Christ-honoring attitude is far more important than actually winning the event! Final Thoughts Coaches, remember that the success of this event really depends on YOU. Clubbers aren?t going to remember everything about this event, but they will always remember that you the coach invested in their lives! Please make sure to be ready for this event. Having your clubbers ready for the next heat or race, coming prepared with the proper forms, and your team assignments. Staying on time is crucial to the success of this event, especially after a long morning of Bible Quiz. The AwanaGames and Sparks-A-Rama should be high-speed, high-excitement. Let?s keep the day moving! During the AwanaGames and Sparks-A-Rama, make sure to have an upbeat, positive atmosphere on your team. There?s nothing worse than a coach with a stinky attitude! Get excited with your clubbers, celebrate their achievements, and encourage them when they fall short. Remember that this is a day of ministry as well as a day of competition! Thanks again for your service as unto the Lord! T&T Bible Quiz Importance of Bible Quiz Awana Bible Quiz is one of the most spiritually rewarding events your club will ever experience! Every church in the country that has Awana believes in the power of scripture memory, so participation in Awana Bible Quiz should be an obvious choice. T&T clubbers will compete in teams of 2-4 clubbers against clubbers in the same handbook from other churches in an exciting, fast-paced format. Teams compete in Team Multiple Choice, Team Speed, and Individual Written Quiz. For specific eligibility requirements, please see the 2012 North Texas Rules. Bible Quizzing is specifically geared to allow high-achieving clubbers the chance to participate while still allowing other clubbers who may not be quite as ?sharp? as their friends to have an opportunity to achieve and show what they know about God?s Word. The purpose of Bible Quizzing is to challenge clubbers and leaders to hide God?s Word in their hearts and to provide excitement for handbook completion. Volunteer Requirements Each T&T Bible Quiz team is required to submit one volunteer to serve as a scorekeeper for the event. No advance training is necessary, though it would be helpful if the scorekeeper was familiar with the Bible Quiz rules before the event. The scorekeeper may not serve as the team coach. Both the team coach and the scorekeeper are required to fill out the Day Event Volunteer Form. Required Forms Please see the required forms section under AwanaGames/Sparks-A-Rama. These forms are also required for Bible Quiz. For the Lubbock and Amarillo events, only one form per clubber is required?two separate forms are not necessary. Helpful Forms Included in your Coaches Packet is a sample written quiz. We have tried to make the quiz more ?kid friendly? this year, but still keeping it easy to grade. The sample written quiz will also be posted online. Also included is a sample ?Study Guide? from www.commanderbill.net. AwanaTexas does not prepare any study guides for the Bible Quiz, but we believe these could be very helpful to your club. Make sure to double check the content reviewed by ?Commander Bill? with the North Texas Bible Quiz rules and the answers. Again, these are not ?official? study guides, but should be very helpful to y our club. Make sure that you are familiar with all the Bible Quiz rules! It?s your job to inform and prepare your clubbers of things they might need to know. Help your clubbers be the best prepared they can possibly be! ? Get your clubbers excited about the event by showing some of the videos on www.awanatexas.org in Opening Ceremony or Large Group Time. Consider requiring all T&T Clubbers who participate in AwanaGames to also participate in Bible Quiz. It?s easy to get excited about games?sometimes quiz is a little more difficult. ? Challenge clubbers to ?get ahead? (maybe past Discovery or Challenge 6) and then to take a time-out on completing sections and focus their efforts on Bible Quiz for the few weeks preceding the event. It can?t hurt to have them review the verses they have already recited?they have probably forgotten a lot already! ? Promote the event in your church through posters, flyers, and maybe even in the church bulletin. Let everyone know that the big event is coming soon! ? Prepare study guides for your clubbers, or use the guides off of www.commanderbill.net. Sometimes it is overwhelming to a clubber to study a handbook without any direction or focus. Study Guides often make the difference between 1st and 2nd place! ? Encourage clubbers who might not be your ?top quizzers? to participate. With the new team format, it is easy for every kid to participate without being a disadvantage to their team. You never know?they might surprise you! ? Have a mock quiz with your clubbers before or after club. Our favorite suggestion is have a pizza party for the Bible Quiz practice night?you might spark some interest in your clubbers! Give your clubbers a sample written test, ask Multiple Choice Questions, and have a Speed Round so they know what to expect at the Bible Quiz. ? Consider challenging your leaders or maybe even your Pastor in a competition against your clubbers to prepare them for the event. It could be lots of fun to see who knows the material the best! ? Review, review, review. Don?t overlook definitions, answers to questions, and any material that is not a verse or reference! ? Continually remind your clubbers (and yourself!) that knowing God?s Word is more important than winning the event! Final Thoughts Coaches, remember that the success of this event really depends on YOU. Clubbers aren?t going to remember everything about this event, but they will always remember that you the coach invested in their lives! Please make sure to be ready for this event. Having your clubbers ready for Bible Quiz is so important to their success, and a great encouragement to see that the kids are really learning God?s Word!
